Automatically mask PAX after given days
Table of Contents
The Automatically mask PAX after given days setting is available in the Admin Panel > General Settings section > ‘Phonebook’ tab.
This setting automatically masks the details of passengers (PAX) who have not been assigned to a flight within a set number of days. This function enhances data privacy and security.
The ‘Automatically mask PAX after given days’ configuration contains the following options:
-
Profile data - Masks the PAX first name, middle name, last name, ‘Known as’ and email.
-
Passports - Masks the PAX passport number.
-
Mask PAX after - Number of days after which PAX will be masked. This threshold applies to both options above.
You can enable Profile data, Passports, or both.
Conditions
For this functionality to work the following conditions have to be met:
-
Only person contacts are masked automatically. Companies are never masked automatically.
-
PAX cannot be a User
-
PAX cannot be marked as ‘Deleted’ or be permanently deleted
-
PAX cannot be marked as ‘Is representative’
-
PAX cannot be an account or a sub-account
-
PAX cannot be an aircraft owner or be linked to an aircraft reservation or a contract
-
PAX is selected as a passenger on a past flight but was not assigned to a flight within the days indicated in the ‘Mask PAX after’
How it works
Leon checks the conditions automatically once a day, overnight, and masks the PAX that meet them. No notification is sent before PAX are masked.
Profile data
When Profile data is enabled, Leon masks the first name, middle name, last name, ‘Known as’ and email in the PAX profile. Only the first letter of each value remains and the rest is replaced with asterisks, for example John becomes J***. In the email address, only the first character before and after the ‘@’ remains. Masked profile fields can no longer be edited.
Passports
When Passports is enabled, the passport number of a masked PAX will be unavailable for preview, as per the screenshot above.
Additionally, the passport number will be masked in the PAX sections of OPS > ‘PAX’ tab on a flight and Requests/Quotes > ‘PAX’ tab in a quote:
A User with the Contact Mask privilege set to ‘EDIT’ will be able to:
-
preview the masked details in the PAX profile by clicking on the
icon, and
-
unmask the details by clicking on the ‘UNMASK’ option in the PAX profile and saving changes
If a User’s Contact Mask privileges are set to DENY, the user will see the
Checking which PAX are masked
The Phonebook list has no filter for masked contacts. To check whether a PAX has been masked, open the PAX profile and check whether the name, email or passport number is shown in the masked format.
Users with the Contact Mask Search privilege can still find a masked PAX by entering the original first name, last name or email in the Phonebook search. The search result shows the PAX with the masked details.
