Crew Travel

Note: Crew Travel is an optional function enabled upon the operator's request. To enable Crew Travel for your operator, please contact Customer Support via the Customer Portal.

Overview

Crew Travel is an OPS tool for managing crew positioning travel, including flight tickets and hotel reservations required between crew duties.

Based on the crew roster, Leon automatically identifies where positioning travel or accommodation may be required and highlights bookings that need to be created, changed, or cancelled.

Crew Travel does not provide direct booking functionality. Tickets and hotels are booked externally and can be imported into Leon using a Sabre confirmation file.

Access to Crew Travel is controlled by the Crew Travel function and a dedicated user privilege.

Where to find it

Go to CREW → TRAVEL from the top menu.

How travel requirements are calculated

Crew Travel calculates travel requirements automatically from the crew roster:

  1. Leon checks crew duties within the selected date range.

  2. It identifies gaps between consecutive duties where the crew member needs to move between different locations.

  3. Airports belonging to the same airport cluster are treated as the same location and do not generate a travel requirement.

  4. If a Positioning duty already covers the required journey, it is excluded from Tickets to book.

  5. Remaining requirements are displayed in Crew Travel.

The lists are updated automatically when the crew roster changes. As a result, changes to duties may cause an existing booking to require cancellation or rebooking.

Booking and Sabre import

Tickets and hotels are booked outside Leon, for example through a travel agent or GDS.

Once a booking is confirmed, the Sabre confirmation file can be imported using Import Sabre.

Leon processes the imported booking and adds the corresponding positioning travel or hotel reservation. The fulfilled requirement is then removed from Tickets to book or New hotels.

If an existing booking is imported again, Leon can update the corresponding booking instead of creating a duplicate. Imported Sabre cancellations are also reflected in Leon.

Crew Timeline and Crew Calendar

Crew Travel uses the same crew duty data as the Crew Timeline and Crew Calendar.

Changes made to the crew roster automatically affect the requirements displayed in Crew Travel. For example, adding a Positioning duty that covers an identified travel gap removes the corresponding requirement from Tickets to book.

Similarly, positioning travel imported through Crew Travel is reflected in the crew member's roster and becomes visible in the Crew Timeline and Crew Calendar.

Crew Travel therefore works as a reconciliation tool between the planned crew roster and the crew's actual travel arrangements.
